Managing members: import, tag, and search
How to view your member list, add members manually, archive records, and use tags to group members.
Go to Dashboard → Members to see everyone who has joined your café. The list shows the member's name, phone number or email, join date, tier, and total points. Click any row to open their full profile.
The Members list only shows active (non-archived) members. Archived members are hidden but not deleted — they can be restored from the Archived tab.
If a customer wants to join but can't use the QR code, you can add them from the dashboard. Click Add Member, enter their name and phone number (or email), and click Create. They will appear in your member list and receive a QR token immediately.
A manually added member goes through the same join flow as a QR-based join — they have a QR code, a points balance, and a tier.
Use the search bar at the top of the Members page to find a member by name, phone number, or email. The search is instant and filters the list in real time.
Tags are short labels you apply to members to group them (e.g. 'VIP', 'staff', 'newsletter', 'allergy'). A member can have any number of tags. Tags are created and managed from the member's profile page.
Use tags to send targeted messages or to keep notes about regular customers. Tags are visible only to café staff — members do not see their own tags.
Archiving a member removes them from your active list and freezes their points balance and tier. They cannot check in or redeem rewards while archived. To archive, open the member's profile and click Archive Member.
Archiving is reversible — open the Archived tab and click Restore to bring the member back. Their points balance and tier are restored as they were.
If you permanently delete a member (not just archive), their points and redemption history are removed and cannot be recovered.
Each member's profile shows their full activity history: every check-in, every points award (including birthday and referral bonuses), and every reward redemption. The history is chronological and shows the date and time of each event.
